Introduction

This document describes the specifications of the files for transaction reporting, reconciliation and invoicing of the Payvision platform.

The Settlement process

You will be settled by Payvision on a daily, weekly or monthly basis. The frequency of the settlements depends on what you have agreed with Payvision. Payvision will provide a reconciliation statement for every settlement. This reconciliation statement is an overview of all transactions which are included in the settlement.

In this example, the settlement frequency is weekly, the settlement day is Monday and the delay period for the payment method is 7 days.

  • Transaction has been processed on the 1st of October (Thursday).
  • The agreed delay period for the payment method is 7 days.
  • The transaction will be released on the 8th of October (Thursday).
  • The transaction will be included in the settlement i.e. 12th of October (Monday).
  • Payvision will make the transfer on Monday - the 12th of October.
  • You will receive the transfer within 3 business days.

Refunds, chargebacks and reversals do not have a payment delay and will be included in the next immediate reconciliation statement.

Time zone

All our reports/batches are generated/run referring UTC.

Frequency

Fund transfer frequency is the same as reconciliation statement generation frequency. Both processes will run at the same time.

Settlement day

Please contact your relationship manager at Payvision to get it adjusted in case you want a different day of the week to be your weekly settlement day.

Daily Transaction export

Daily transaction export – All the transactions hitting our server under your account from the previous day 00.00 till 23:59 will be exported the next day before 12:00 PM CET. A csv file is created and will be placed in an SFTP. This is just a transaction dump and has nothing to do with the reconciliation report. Consuming this report has the following advantages:

  1. You can verify all the outgoing traffic from your website per day and check if we have received the same number of transactions at our end.
  2. Forecast the fund you will be receiving from Payvision [Excluding chargebacks, invoices]

SFTP access

Your static IP address needs to be whitelisted by Payvision to allow you to access our SFTP folder.

The .csv file specifies all individual transactions which are executed on daily basis. See below for a sample .csv -file and an explanation of the columns you will find in the file. All fields and headers are quoted (with double quotes).

Reconciliation statement

Based on the agreed settlement period you will receive a reconciliation file per settlement currency per Customer.

Specification of reconciliation statement

The reconciliation statement summarizes all the processed transactions over the period in question. For details on specific features, refer to the numbered circles on the example statement shown above and their corresponding paragraphs.

Customer (ID)A unique ID assigned to the merchant of record [MOR] in our system, referencing your business account. You can find this ID in the email you receive, containing the credentials for your live account. Based on your agreed setup, you might have more than one Customer ID in our system. One reconciliation statement per settlement currency, per Customer ID is generated. This ID is also part of the reconciliation statement and corresponding TransExport.csv filename
Payment dateThe date when the payment instruction is executed to credit your account with the amount specified in that current reconciliation report. The same date can also be found against every record in the corresponding TransExport.csv file.

Reserve debitAmount put in reserve status. Reserves are funds set aside for a period of time to cover pending reversals, chargebacks, etc.This field is currently empty and will be exposed soon.

The csv file specifies all individual transactions which are included in the funding. You may use the csv -file to upload all settled transactions, refunds and chargebacks into your own system. See below for a sample csv -file and an explanation of the columns you will find in the file. Every reconciliation statement has a TransExport.csv file linked to it. This file contains all the payments which has contributed to the amount mentioned in the corresponding reconciliation statement.

Invoice

Standard file format: pdf

Payvision will provide an invoice for all services which are delivered in a specific month. Components of the invoice are

  • Transaction fees (per payment method)
  • Gateway fees
  • Risk fees
  • Periodic fees

Besides the aforementioned fees, the invoice statement also contains your company detail, Payvision's company detail, an invoice number and Payvision's bank details (optional). Whenever possible, Payvision will deduct the invoiced amount from your next settlement.

On the invoice you will find all the fees for the processing in the preceding month. For details on specific features, please refer to the numbered circles on the example invoice shown below and their corresponding paragraphs.

3. Fees
Here you will find the fees for all the transactions processed this month. See below for an explanation of the columns.

4. Invoice amount
The total invoice amount to be debited from your available balance or we would ask you to transfer the invoice amount to Payvision's bank account. The instructions will be mentioned along with our bank account details in every invoice.

FAQ

Why am I not funded today or this week/month?

a. You have a negative balance

  • The specific virtual account is negative or
  • One of your virtual accounts is negative

b. The minimum funding amount hasn't been met (threshold for remittance)

c. The virtual account has been put on 'inactive', this will happen if we suspect that you are being a target of any fraudulent activities.

The virtual account is the level where the funded amount is calculated (one virtual account per funding currency per Customer

The money doesn't hit my account on the date mentioned on the reconciliation statement.

Banks do take additional time to process a transfer. The exact delay of a transfer depends on the location of both the sending and the receiving bank. Normally you will receive the transfer between 1 and 3 business days. If you haven't received the payment within 5 business days and if your own bank can't track the transfer, you should contact your relationship manger at Payvision.

Explanation about the details of the invoice.
Gateway fee is the fee per quantity transaction per payment method charged for processing via Payon gateway platform.

  • IC: Interchange: this is the fee charged by the issuing banks
  • CSF: Card Scheme Fee, this is the fee charged by the card schemes (VISA/Mastercard)
  • MSF: Merchant Service Fee (Discount Rate), this is the fee charged by the acquirer (acquirer markup)
  • 3DSecure: 3D-Secure fee per authenticated transaction, this is protocol for e-commerce transaction where card is not present on time of the purchase. Initially developed by VISA and known as Verified by VISA, 3D Secure is adapted by the major card schemes such as Mastercard, AMEX, JCB and Discovery.
